This Privacy Policy explains how Phoenix Ninja Studios ("we," "us," or "our") handles information in connection with Adventures in Hetheria (the "application"), a digital companion for the Scrolls of Hetheria tabletop system, and related support communications.

2. Information We Collect

The application supports accounts, authentication, persistent character storage, character preferences, and in-app bug reporting. To provide these features, information may be processed or stored as described below. The information involved depends on the features you use and what you choose to enter.

3. Account Information

Account information may include your email address, account or user identifiers, and authentication-related account information necessary to create, authenticate, and operate your account. Phoenix Ninja Studios does not intentionally store users’ passwords in plaintext. Do not send your password to us in a support message or bug report.

4. User-Created Content and Character Data

The application may store the character information you create or update so that saved character sheets and related functionality can operate. This may include:

Character names and statistics;
Race, class, multiclass, background, and Mythic Class selections;
Skills, abilities, and spells;
Equipment and inventory;
Character notes and configuration or preferences;
Character-specific theme preferences; and
Other information voluntarily entered into character sheets.

Please avoid entering sensitive personal information or private credentials in character names, notes, or other free-text fields.

5. Bug Reports and Support Communications

When you submit a bug report or contact support, we may process the information you voluntarily provide. In-app reports may include a bug title, description, steps to reproduce, expected behavior, actual behavior, severity, and category.

Useful diagnostic context may be associated with a report where available, including your user or account identifier, email address, character ID and name, current page or route, app or build information, browser or device information, and a timestamp.

Support communications may include your email address, message content, and any attachments you choose to send. Passwords, authentication tokens, session secrets, and private credentials are not intentionally included in bug reports. Do not include them in reports, messages, or screenshots.

6. Technical Information

Technical information may be processed where necessary to deliver the application, support authentication, diagnose problems, and maintain security. This may include app or build information, browser or device information, current page or route, and timestamps where available, including context associated with bug reports.

Infrastructure providers may process technical information needed to deliver their services.

7. How We Use Information

Information may be used to:

Create and authenticate accounts and provide access to the application;
Save, retrieve, and manage character sheets and user-selected preferences;
Provide requested application functionality;
Respond to support communications and account assistance requests;
Investigate bugs and improve application reliability;
Maintain security and prevent fraud, abuse, or unauthorized use;
Process account and data deletion requests; and
Comply with applicable legal obligations and protect rights and safety.

8. Service Providers and Infrastructure

Third-party service and infrastructure providers may process information where necessary to operate Adventures in Hetheria and provide related functionality or support. The application uses Base44 as its development and hosting platform. Information needed to operate the application may be processed through that platform.

10. Data Retention

Information may be retained while your account remains active and as reasonably necessary to operate the service. Some information may be retained where reasonably necessary for legal obligations, security, fraud or abuse prevention, dispute resolution, or operational requirements.

Retention depends on the information and the purpose for which it is needed. We do not specify a fixed retention period. Bug reports and support communications may have retention needs separate from saved character data.

11. Account and Data Deletion

Adventures in Hetheria has an existing self-service Delete Account feature. The primary way to delete your account is to use this feature inside the application. Sign in, open the application’s account/settings area, locate Delete Account, and review and complete the confirmation process.

Account deletion is intended to delete your Adventures in Hetheria account and associated user-created account data according to the application’s deletion behavior. Associated data may include saved characters, selections, statistics, skills and abilities, notes, inventory and equipment, preferences, and character-specific themes. Some information may be retained for the purposes described in Data Retention; account deletion does not necessarily remove every support communication or bug report.

Deletion is a significant action and may be irreversible. Complete it only if you intend to permanently remove the account and associated data.

The public page explains the in-app process and how to request assistance if you cannot access your account or application, or encounter an error. Never send your password.

12. Data Security

We use reasonable measures to protect information handled in connection with the application. However, no method of electronic storage or transmission can guarantee absolute security. Keep your account credentials private and contact support if you believe your account or information has been compromised.

13. Children’s Privacy

Adventures in Hetheria is a tabletop companion application and is not specifically designed for children. We do not seek personal information from children in circumstances where applicable law requires parental consent without that consent.

If you are a parent or guardian and believe a child has provided personal information that should not have been collected or retained, contact [email protected] so we can review the concern and take appropriate action, which may include deletion.

14. Changes to This Privacy Policy

We may update this Privacy Policy as the application or its information practices change. Updates will be posted on this page with a revised effective date. Where required by applicable law, we will provide additional notice. Review this page periodically for the current policy.
